The administrative coordinator of the Jefferson Center for Interprofessional Practice & Education provides office management and leadership of special events, as well as support of daily operations of all Center activities. The incumbent is responsible for ensuring faculty, staff, and students are equipped with the tools required to enact the mission of the Center. The administrative coordinator plays a key role in developing and managing relationships with all stakeholders and facilitating achievement of JCIPE’s strategic goals.Job Description
Essential Functions
- Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson.
- Serves as the primary point of contact for JCIPE, liaising and building relationships across the enterprise to support the Center mission
- Supports the operation of all JCIPE programs and initiatives, including recruitment, development, and delivery
- Organizes all JCIPE events, including leadership of its biennial, national conference for ~200 attendees, overseeing scheduling and correspondence, as well as all logistical components
- Manages JCIPE awards process, establishing a timeline, scheduling review, collating applications, and coordinating communications and publicity
- Coordinates 20 calendars for Center team, employing technological tools for meeting scheduling and execution
- Oversees office supply inventory and meeting and conference room scheduling
- Manages annual room scheduling process for all 15 Center programs
- Coordinates travel plans for all team members
- Completes purchases and reimbursements for Center expenditures and processes Center revenue
- Conducts monthly reconciliation of budget expenditures and revenue
- Assists with meeting preparation and formatting of Center materials
- Maintains confidential records and information

Minimum Education and Experience Requirements:
Education:
- High school diploma or GED required. Bachelor’s degree preferred.
AND
Experience:
- Minimum of two years of professional experience in a fast-paced educational or clinical environment.
- Event planning experience preferred.
